Partner Account Information

When you register as an ApplyWorld partner, we collect:

• Agency name, business registration number, and country of operation
• Contact person name, email address, and phone number
• Bank account details for commission payments
• Login credentials (passwords are stored in hashed form and never readable by us)

Student Application Data

When you submit student applications through the platform, we collect data on behalf of the student and the institutions applied to. This may include:

• Full name, date of birth, nationality, and passport details
• Academic history, transcripts, and qualification documents
• English language test scores and supporting documents
• Financial documents and sponsorship letters
• Contact information and communication history

Usage and Technical Data

We automatically collect certain technical data when you use the platform, including IP address, browser type, pages visited, time of access, and device information. This data is used to maintain security, improve the platform, and diagnose issues.

• Process and track student applications submitted by your agency
• Communicate with you regarding applications, approvals, and platform updates
• Calculate and process commission payments
• Verify partner eligibility and conduct compliance checks
• Improve platform functionality and user experience

• Prevent fraud, misuse, and unauthorised access

3. Sharing of Information

We share personal data only in the following circumstances:

• Partner institutions: Student application data is shared with the institutions to which applications are submitted, for the purpose of evaluation and enrolment.
• Service providers: We use trusted third-party services for hosting, email delivery, payment processing, and analytics. These providers are contractually bound to process data only as instructed and in accordance with this Policy.
• Legal requirements: We may disclose data where required by law, court order, or regulatory authority.
• Business transfers: In the event of a merger, acquisition, or sale of assets, partner and student data may be transferred to the acquiring entity.

We do not sell personal data to third parties.

4. Data Retention

We retain partner account data for as long as your account is active and for a period of 5 years after termination, as required for legal and financial compliance. Student application data is retained for 7 years after the close of an application, or as required by the relevant institution or applicable law.

You may request deletion of your account data by contacting us, subject to our legal obligations to retain certain records.

5. Data Security

We implement appropriate technical and organisational measures to protect personal data against unauthorised access, loss, destruction, or alteration. These include encryption of data in transit (TLS), access controls, secure credential storage, and regular security reviews. However, no transmission over the internet is completely secure, and we cannot guarantee absolute security.

We use cookies and similar technologies to maintain session state, remember your preferences, and analyse platform usage. You can control cookie preferences through your browser settings. As a platform serving partners and institutions globally, data may be transferred to and processed in countries other than Nepal. We ensure that any such transfers are subject to appropriate safeguards, such as standard contractual clauses or equivalent protections, in accordance with applicable law.

10. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. We will notify you of material changes by email or through the platform at least 14 days before the changes take effect. Continued use of the Services after the effective date constitutes acceptance of the updated Policy.
